Asana Client Management vs monday CRM: Where Should Client Work Live?

Asana’s newly available client product joins relationship context to project delivery. monday CRM emphasizes the sales-to-service record. Agencies should compare the handoff and the full bill.

A client signs the proposal, but the delivery team starts from an outdated brief while the account manager tracks the renewal in another place. The agency does not need a more impressive dashboard; it needs one trustworthy handoff. Asana made Client Management generally available on September 28. That makes it timely to compare its delivery-centered approach with monday CRM's relationship and sales workflow.

The difference is the starting record

Asana says Client Management connects a client directory, meetings, project tasks, a client portal, team capacity, and AI Teammates. Its Advanced plan includes the portal and capacity view; the pricing page lists Starter at $10.99 and Advanced at $24.99 per internal user per month when billed annually as of October 8, 2026. Clients do not consume seats. The plan includes a limited shared pool of AI requests, with additional usage billed separately. Confirm the quote and the features your agency would actually use.

monday CRM centers customer records, pipeline, communication, and automation, with sales and delivery presented as one flow. Its client-project template links accounts, projects, owners, and dashboards. The monday CRM pricing page separates Basic, Standard, Pro, and custom-priced Ultimate; it lists AI credits in Standard and higher plans, with plan-specific limits. The page presents prices by locale and seat selection, so a US agency should get a quote for its own team rather than compare a foreign-currency display with Asana's US list price. Ask monday to demonstrate the client-facing view, capacity planning, and AI allowance on the quoted plan. Its general product page does not establish parity with Asana's Advanced plan.

Run the same client journey in both

Use one sanitized existing account. In this constructed trial, the client has approved a campaign, then asks to replace one image before Friday while the account manager is preparing a renewal proposal. Enter the signed scope, approved version, late request, due date, and renewal milestone in each system. Have a delivery manager, account manager, and client reviewer try the same tasks: find the approved brief, assign the change, show what is waiting on the client, and identify who owns renewal follow-up. The risk is different in each product. An Asana portal may fail if that client insists on email and no one transfers the approval. A monday sales record may look complete while the delivery board holds an older brief. Neither outcome is inevitable; the exercise reveals whether this team can maintain one authoritative trail.

Start a timer when the late request arrives and stop when all three people can see the same approved status. Log each duplicate entry, missed change, ownership correction, and clarification message. Compare that with the agency's current process for a similar change. Set a simple acceptance rule before the demo: no missed approval or client-visible wrong version, and less total staff time after checking. A fast setup that fails the zero-error approval condition does not pass.

  • Favor Asana when client delivery, approvals, and capacity are the daily center of work and its portal survives the client's real feedback process.
  • Favor monday CRM when sales history and customer communications are the main source record, and the project handoff works without copying the account into a second system.
  • Pause either purchase if the trial needs manual reconciliation between proposal, project and bill, or if AI usage limits make the projected cost unclear.

Neither vendor's launch page proves a lower agency cost. For a fair first-year estimate, multiply the quoted monthly seat price by paid seats and months, then add migration, training, portal or budget add-ons, and expected AI requests or credits. Ask both sellers what happens when the included usage is exhausted. Keep any tool the agency cannot retire in the total. The client-feedback approval guide provides the revision and sign-off steps to replay. After the trial, the engagement lead should select one authoritative approval record, decide whether either product removes enough duplicated work to justify its full cost, and decline both if neither improves the handoff.
